SUMMARY OF JOB DUTIES
The Sales Assistant provides comprehensive sales and customer support to wholesale and retail customers, both in person and by phone. This role is responsible for entering and managing customer orders in our ERP system, processing, billing, and invoicing, and reviewing online orders to identify and prevent potential fraud. At the customer’s request, the Sales Assistant provides accurate pricing, estimated delivery timelines, and order status updates. The role also coordinates and schedules outbound LTL (less-than-truckload) freight and shipments of commercial pressure washers, pressure washing chemicals, and small parts inventory. In collaboration with the Warehouse Coordinator, the Sales Assistant assists with organizing the warehouse, maintaining clean and orderly shelving, managing small parts inventory, and ensuring a safe, clean working environment.
Responsibilities include, but are not limited to:
- Handle a wide variety of sales and customer service duties to provide exceptional customer service.
- Answers calls and assists our wholesale and website customers with significant customer service information to aid in sales or directs technical questions and other related needs to the appropriate associate.
- Processes and enters many orders into Odoo; maintains computer records of sales invoicing and ships orders quickly and efficiently.
- Maintains detailed documentation of invoices and customer accounts. This will include customs documentation for our international shipments.
- Pick and pack customer orders effectively to avoid damage in shipping.
- Completes data entry of UPS and FedEx shipping information.
- Prepares Bills of Lading and schedules all shipments with domestic and international carriers.
- Schedules international shipments and creates the appropriate documentation.
- Monitors the distribution of products, inventory, parts, and chemicals to ensure they are shipped to their appropriate destinations while managing time and tasks efficiently.
- Completes customer invoicing according to their payment terms.
- Receives, organizes, and stores products and resources within our shipping department.
- Helps to demonstrate and train others on pressure washing equipment (with experience and training).
- Performs special projects as assigned, including but not limited to trademark research, researching government contract opportunities, and creating training documents.
- Assists the wholesale manager with administrative tasks relating to dealer relationships.
- Performs other duties as assigned.
QUALIFICATIONS & REQUIREMENTS
Minimum Background and Skills Required:
- High school diploma or equivalent.
- 3+ years of prior sales and/or customer service experience working with industrial products.
- Proficient in MS Office (Word, Excel, Teams, and Outlook) and experience with the use of ERP business system(s).
- Excellent interpersonal skills, with a passion for helping people and a friendly attitude and demeanor.
- Excellent communication skills, both oral and written.
- Strong sense of self-motivation with a goal-oriented approach to work.
- Ability to handle multiple priorities at one time in an organized manner.
- Customer-centric, looks for ways to improve relationships between both internal and external customers.
- Stress-tolerant, able to calmly handle customer complaints and work with other departments for resolution.
Additional Background and Skills Preferred:
- Experience with logistics in the wholesale industry.
- Experience performing customer service for industrial equipment products or with customer service for industrial cleaning chemicals/products.
- Experience organizing and executing customer-focused training or events.
- Previous CR49 training or the ability take part in and pass CR49 training.
- Proficiency in speaking Spanish.
- Strong mechanical aptitude.
Physical Requirements and Working Conditions:
- Repetitive wrist motion up to 90% of the time.
- Uses visual acuity to enter orders as well as pick and pack orders.
- Listens to the requests of co-workers or customers up to 85% of the time.
- Some sedentary work.
- Some walking.
- Lifting of 35 - 50 lbs. independently and up to 75 lbs. with assistance.
- Occasionally climbs ladders.
